Role Overview
This is a shore-based, full-time salaried role overseeing the administrative management of a private yacht and luxury properties,
while also serving as a high-caliber Executive Assistant to the owner. This position is ideal for someone with luxury asset operations
experience who also brings C-suite–caliber organizational, communication, and project management skills.
Requirements
• 8+ years’ experience in luxury yacht service, high-end hospitality, estate/villa management, or private household
administration.
• Proven track record in vendor management, logistics coordination, and multi-asset operations.
• Strong executive assistant skills in calendar management, travel coordination, ordering, inventory control, budget tracking,
and confidential correspondence.
• Must be highly skilled in technology including Microsoft Office and Mac-native communications.
• Professional demeanor with impeccable discretion, organizational skills, and attention to detail.
• Anticipate needs, think critically, and offer solutions with professionalism and confidentiality with minimal supervision
• Ability to multitask across several workflows and respond to owner needs quickly and efficiently.
• Deep client service attitude where you will be expected to find ways to make things happen against the odds.
• Willingness and initiative to expand into additional roles and undertake additional responsibilities.
• Able to travel extensively when required.
• Valid US passport (minimum 1 year validity).
Primary Responsibilities
• Yacht Fleet Operations Management: provide assistance to the organization and management of the owner’s 70’ motor
yacht.
o Vendor and Organizational Management: Schedule and oversee cleaning/detailing crews and day workers; source
and purchase supplies and consumables; manage stock levels across vessels and other assets; source staff
including captains.
o Logistics and Scheduling: Manage marina bookings, dockside services, travel arrangements, and shoreside
accommodations for owner, crew, and guests. Ensure vessels are always ready.
o Reporting: In coordination with Captain, maintain maintenance logs, vendor databases, warranty files, service
records, and budgets. Prepare reports for the owner.
• Other Luxury Asset Management: Arrange and manage warranty work, conduct site visits, produce reports, and engage
with generalist and specialist contractors to service luxury assets including homes, vehicles, and boat slips.
• Other general executive assistant responsibilities: As needed, perform organizational and logistical support to the owner in
tasks outside those related to luxury asset operations, including:
o Scheduling, coordinating, and managing aspects of business and personal travel.
o Providing advisory role in personal functions related to health and wellness.
Team & Reporting
Reports directly to the Owner and works closely with the owner’s personal and professional support teams. Functions as the shorebased
link between the yachts, luxury assets, service providers, and the owner’s office.
Location
This is a role based in Southeast Florida, with an option for in-person office in Palm Beach Gardens.
Travel Profile
Travel is anticipated primarily to attend to luxury assets including homes and yacht. Travel is expected to accumulate to
approximately 3-4 months of the year.
