Job Description:
We are looking for a polished, detail-driven Charter Assistant to support our charter brokers and
managers. You'll help ensure smooth charter operations through strong administrative
coordination, seamless communication, and exceptional customer service.
Key Responsibilities:
• Administrative Support: Assist charter brokers with daily administrative tasks, including scheduling appointments, managing email correspondence and organizing documents.
• Manage booking cycles: Coordinate charter bookings, ensuring all client requirements and preferences are documented and met.
• Client & Crew Communication: Serve as a point of contact between clients, yacht crews, and internal stakeholders to guarantee smooth operations and prompt problem resolution.
• Listing & Calendar Management: Maintain and update availability calendars, charter listings, and contract documents for each yacht in the flee.
• Customer Service: Deliver high-touch service to HNW clients, anticipating needs and exceeding expectations across every charter stage.
• Marketing Support: Assist marketing team with e-blasts, boat shows and promotional content preparation.
• Industry Awareness: Stay informed on charter market trends, yacht availability, and competitor offerings.
• Logistics Coordination: Handle logistical arrangements such as travel itineraries for clients, provisioning requests for charters, and any special accommodations or requests.
• General Office Tasks
Qualifications
• Bachelor’s degree in Hospitality, Business, Marketing, or prior experience in the yachting industry, luxury hospitality, or high-end travel sector is preferred.
• Strong organizational and multitasking abilities with a high attention to detail.
• Excellent communication skills, both written and verbal, with a professional and polished demeanor.
• Proficiency in Microsoft Office and familiarity with CRM software.
• Ability to thrive in a fast-paced, client-focused environment and manage multiple priorities effectively.
Preferred:
• Knowledge of charter contracts, VAT, and industry regulations.
• Multilingual abilities (fluency in additional languages) are an advantage, to better serve an international clientele.
• Familiarity with boat shows, charter logistics, or yachting culture
