Summary

We are seeking a highly organized, tech-savvy, proactive, and detail-oriented individual to manage front-of-house reception tasks, oversee office administration and while also leading our marketing and social media presence . The ideal candidate will be equally comfortable handling administrative tasks, liaising, and creating engaging digital content that reflects our yachting brand. 

Experience with graphic design and digital marketing is preferred. The right candidate will be enthusiastic about supporting marketing initiatives and comfortable working with digital tools and creative assets.

Reporting to: Chief Executive Officer

Job Responsibilities:

As the Office Manager, your responsibilities will encompass a range of tasks, including:

Office Management & Administration:

  • Greet and welcome visitors, clients, and employees in a friendly, professional manner.
  • Maintain a tidy, welcoming, and organized reception area.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Prepare documents, organize materials, and provide general administrative support.
  • Assist with onboarding new employees, including workstation setup and orientation materials.
  • Maintain office and kitchen supply inventories, reordering as necessary.
  • Manage swag inventory for events, clients, and internal use.
  • Oversee daily office operations, ensuring smooth workflows and efficiency.
  • Supervise office equipment and coordinate maintenance, cleaning, and repair services.
  • Ensure compliance with health and safety regulations and workplace standards.
  • Assist in planning and organizing company events, meetings, and team-building activities.


Marketing & Social Media:

·       Develop and execute a monthly marketing plan aligned with business goals.

·       Manage NauticALL’s social media accounts (Instagram, LinkedIn, Facebook, etc.), posting engaging content regularly.

·       Coordinate with the Team to create visually appealing posts, reels, and stories showcasing our services, team, and yacht industry highlights.

•      Monitor and respond to social media messages and comments.

•      Maintain and update company website content (service descriptions, case studies, staff, news, etc).

•      Coordinate photography, videography, and design work as needed.

•      Track analytics and performance.


Confidentiality:

Maintain confidentiality of company, client, and employee information.

Qualifications

Required:

  • High school diploma or equivalent required; Associate’s degree or higher in business administration, communications, or a related field preferred.
  • Proven experience as a receptionist, office assistant, or in customer service.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Tech-savvy with the ability to quickly learn and adapt to new software and systems.
  • Exceptional verbal and written communication skills.
  • Strong interpersonal skills and a customer-focused attitude.
  • Ability to handle sensitive and confidential information with discretion.

Preferred:

  • Fluency in Spanish is highly desirable.
  • Previous experience in a fast-paced or dynamic work environment.

·       Basic graphic design and/or digital marketing experience, such as working with Canva, Adobe Creative Suite, social media platforms, or email marketing tools.
