EXECUTIVE PERSONAL ASSISTANT TO SUPPORT HNW COUPLE

Location: North West Vermont USA

Salary: $85,000 - $95,000 Negotiable + Excellent Benefits Package

Contract: Full-Time, Permanent

We have an incredible opportunity for an experienced and highly skilled Executive Personal Assistant (EPA) to support an high-net-worth couple from their private family office in North West Vermont. Directly supporting the principals, and supported by a Personal Assistant, you will provide exceptional organisational and administrative support across their private and professional lives. You will be responsible for managing their busy and frequently changing diaries, regular travel plans and itineraries, event planning, communication management, and assisting with office technology needs and special projects.

As EPA you will be capable of handling challenging situations with humour and demonstrate adaptability, strong communication skills and a friendly demeanour. This is a lovely family to work for, and you will be joining a warm and approachable, yet highly professional and dedicated team. You will need to be hardworking, and diligent, have a very high attention to detail, excellent communication skills and the ability to multitask with ease. Highly service-orientated, you will be a natural problem-solver who has a ‘can-do’ attitude. Adaptable and unflappable, you will be able to remain calm in stressful situations, and ensure you are always providing first-class service to the principals. Teamwork, a good sense of humour and a positive disposition are also essential for this role.

Based in the private family office a couple of miles’ drive from the estate, usual working hours are Monday-Friday from 8:30am-5pm, with flexibility arranged in partnership with PA for after/off hours support for urgent matters. CORE RESPONSIBILITIES TO INCLUDE, BUT NOT BE LIMITED TO:

•Complex diary management, for both private and professional diaries, including all appointment scheduling, meetings and agendas, and liaising with other family and business PA’s to ensure cohesiveness

•Travel planning, including itineraries, private jet charter, hotels, transport etc.

•Act as the main point of contact and gatekeeper for personal business

•Hold weekly meetings with the principals, as well as internal office meetings to ensure clear communications and seamless scheduling

•Manage all communication on behalf of the principals, acting as a liaison to other business associates, contractors and other stakeholders

•Be present in high-level meetings as requested, as well as working with other staff during events and public presentations

•Event management and party planning with the PA and other estate staff

•Project management: oversee all special projects for the principals, including research, liaising with consultants, and preparing and managing documentation

•Occasionally support with office property management in conjunction Chief of State and the Estate Property Manager

ESSENTIAL CRITERIA:

•A minimum of 4 years or equivalent working as a high calibre executive/personal assistant or closely related field

•A bachelor's degree from a four-year college or university is advantageous

•Experience and comfort with the pace and grace under pressure required to smoothly support principals in either private family or corporate settings

•Highly service-orientated, with exceptional organisational skills, and the ability to prioritise

•A high level of communication sensitivity and discretion is required to know when to collaborate, take ownership or seek and take direction from the principals.

•Hands-on, self-motivated, detail-oriented and a team player; a can-do and always-positive attitude is a must

•Demonstrated proficiency with technology

•Must have a valid driver’s license and have a reliable mode of transportation to get to the office and principal’s residence

•Professional and well-presented, an ambassador for the principals

•Flexibility to be accessible after hours to support the principals’ schedule on an as-needed basis.

•Must pass security background, and credit check and provide excellent references.
