Job description

High-level, experienced Executive Assistant with a dedicated work ethic is needed for a fast-paced, multi-faceted role in the marine industry in Fort Lauderdale, FL. Must work well under pressure, be forward-thinking/pro-active, results-oriented and professional. Basic knowledge of accounting principles and procedures, as well as contracts, proficient use of Microsoft office Suite, and ability to work well and communicate effectively with others required. General knowledge of Internet marketing is a plus. Ability to compose emails on behalf of the principal is of utmost importance. This person will manage multi projects simultaneously and liaise with various departments/people in multiple companies and capacities.

DUTIES AND RESPONSIBILITIES:

Maintain calendar; coordinate meetings and travel arrangements.

Compile travel arrangements and create itineraries.

Complete and submit monthly expense reports.

Monitor multiple email accounts, flagging/responding as directed/needed.

Compose and send emails on behalf of principal.

Manage database of contacts and calendar in Outlook.

Prepare Letters of Intent, Commission Agreements, Buyer/Seller Closing Statements/Dealer Certificates.

Follow transaction contracts and related paperwork, coordinate with attorneys, buyers, sellers, (all parties) to insure all is in order.

Assist with the organization of events and prepare any needed, related marketing material.

Assist the principal at yacht shows and other events, as needed.

Participate in sales and marketing calls.

Organize and maintain marketing materials and prepare mail-outs.

Maintain storage unit keeping it organized, clean and inventoried.

Prepare for meetings and take/make notes as needed for self, principal and/or participants and distribute.

Electronically file resumes received and reply as appropriate.

Manage listings, ads and monthly sales updates in order to generate regular Industry and Client Announcements via Constant Contact.

Reach out to clients monthly for updates as needed.

Maintain current electronic files for all business and personal dealings.

Social media posts: primarily LinkedIn and Instagram.

Job Types: Contract, Full-time.

Salary: $65,000.00 - $75,000.00 per year DOE.

Schedule:

8 hour shift.

Weekend availability.

This is a full-time, in-office position.

Education:

Associate (Preferred)

Experience:

Microsoft Excel: 5 years (Required)
