This is an opportunity for someone - ideally with a yacht crew or yacht management background - to work in a land-based role in a boutique and growing yacht management company. The position is hybrid, working from the home office and at the company office in Fort Lauderdale. SUMMARY
The Yacht Account Manager role involves providing yacht captains and owners with Accounting, Reporting, Payroll & Crew Administration services. The Account Manager will be the Owner’s primary point of contact for these functions.
PRIMARY RESPONSIBILITIES
Budgeting.
Arrange for Annual, Quarterly & Monthly budgets for each vessel based on collaboration with captain & Yacht Managers, and as requested by the owner.
Prepare budgets with charting/graphics and adequate presentation.
Ensure that budgets are presented to the owner in a timely manner, especially monthly budgets.
Review budgets & financial reports with clients and identify opportunities for reduced costs.
Prepare Funding Request to owner in accordance with budget.
Financial Reporting.
Produce Annual, Quarterly & Monthly financial reports to the owner and/or owner’s Representative.
Provide basic budget variance analysis in collaboration with the captain & Yacht Manager, as necessary.
Reconcile card and cash accounts in Voly.
Accounts Payable.
Ensure that expenditure approval levels are established and agreed to by the Owner, and communicated to the captain & crew.
Review and process payable invoices for the vessel in accordance with the established approval levels.
Manage the captain & crew’s debit/credit cards and petty cash, frequently in multiple currencies.
Payroll / Crew Administration.
Arrange the setup of crew employment cell company.
Arrange the setup of crew debit card accounts.
Issue Crew Data Sheets and ensure that they are correctly followed up.
Ensure that all crewmembers are provided with a correct and current employment contract (SEA), based on agreed terms with the owner, manager and/or captain.
Ensure owner approval exists for any increase in compensation or benefits for a particular crew position.
Liaise with disputes with regard to crew employment contracts or payroll.
Process payroll and provide funding to third-party payroll company each month.
Ensure accuracy of crew settlement/termination paperwork.
Ensure that all crew are added to vessel medical policies.
Perform HR duties for vessels (interview candidates/hiring/termination/PTO/expense reporting/dispute resolution).
ADDITIONAL RESPONSIBILITIES/EXPECTATIONS
Excellent IT skills & strong proficiency in both Mac & Windows operating systems & office software. The ability to work fluently with Pages/Numbers/Keynote AND Word/Excel/PowerPoint is highly important.
Further to above, the ability to learn, understand, and accurately work with banking websites, portals, and critical related financial software, where attention to detail is paramount. Assisting the Department in particular with vendor/account related tasks, such as software development.
Assisting the Accounting Manager, Yacht Managers, & Yacht Management Director as required.
Visiting vessels in the local area between Palm Beach & Miami and carrying out vessel inspections and basic vessel/crew audits.
Contribute to company and department tasks and special projects as assigned.
Attendance at boat shows as required.
International travel may be required.
