Job brief: In charge of all accounting and administration of a fleet of yachts. Provide key support to the Owner’s Representative as required.
Job function and responsibilities
Finance and Purchasing
• Supervise and reconciliate the cash float, credit cards and accounts of a fleet of yachts, keeping all the records up to date. • Checking and entering invoices in the yacht accounting system and preparing for payment upon request from Owner’s Representative. • Comparing invoices against approved purchase orders or, in case of any confusions, confirming them with the HOD responsible for the purchase. • Monitor purchase orders until closure. • Liaise with vendors and service providers on billing information and credit queries • Preparing weekly reports to Owner’s Representative with an updated list of current outstanding invoices/liabilities. • Preparing and submitting monthly reconciliations of accounts for each yacht. • Preparing and submitting reports to the Owner’s Representative and Finance Director on a monthly basis such as budget vs accrual and Itemised Category Report in an efficient and accurate manner. • Preparation of monthly payroll for each vessel in coordination with the Acting Captains of each vessel. Submitting for approval to the Owner’s Representative and subsequently to Yacht Management Company for further processing and wire transfers • Liaise with the Yacht Management Company regarding Final Payments and any other changes in crew members Gross Salary (trial completion, promotion, etc.) • Submitting payslips (monthly, to be emailed to each individual crew member) and final payment documents • Provide occasional training to Acting Captains and HODs on financial procedures • Occasional auditing of on board yacht accounts • Provide ad-hoc financial reports as required
• Keep track on leave day calculation in coordination with the Acting Captains for each crew member and integrate the days in the shared leave tracking for Acting Captains and HODs to manage • Organizing and follow up of all crew flights and transportation for joining, leaving and repatriation.
